We respect your privacy and are committed to protecting your personal data. This policy explains in detail what data we collect, how we use it, who we share it with (if at all), how long we keep it, and what rights you have. It applies to the eFauna website, mobile application, and any related services. Please read it together with our Terms and Conditions and Cookie Policy.

Data we collect

We collect the following categories of data. (1) Account and profile: when you register (e.g. email, name, role). When you create a farm or pet owner profile we collect details you provide (e.g. address, phone number, tax ID or similar). (2) Animal and care data: for each animal you add we store name, species, breed, ear tag (etiketa e kafshes), birth date, photos, status (e.g. active, lost, sold, dead), and any descriptions you add (e.g. lost description). We also store veterinary records (diagnoses, treatments, visit dates), vaccination history and schedules, birth and death records, sales (buyer, price, date), and insurance policy details per animal. (3) Lost-animal reports: when you mark an animal as lost we use the data needed to show it on the public lost animals page (name, species, breed, photo, lost description, date reported). The public listing does not display the animal ear tag; the ear tag is used only in the separate look up by ear tag feature so that someone who finds the animal can identify it and, if you have enabled it, contact you. (4) Content: we store articles and blog posts you publish (if your role allows), support ticket messages, and in-app messages. (5) Mobile: if you use the mobile app we may store push notification tokens so we can send you reminders and updates (e.g. vaccination due, ticket replies). (6) Technical and usage data: we collect IP address, browser or app type, device information, and similar technical data for security, fraud prevention, and to honour your cookie and preference choices. We do not display your contact details on the public lost animals listing; contact is only possible if you enable Contact owner on an animal profile (e.g. via “Contact owner”, in which case finders can reach you through the means you have chosen.

How we use your data

We use your data to: provide and operate the service (e.g. animal records, vet history, vaccinations, events, sales, insurance, lost-animal reports, articles, support tickets, notifications); run public features such as the lost animals page (with limited information as described above) and animal profile lookup by ear tag; communicate with you (e.g. email verification, password reset, support replies, important service notices); enforce our Terms and Conditions and protect the security of the service; and comply with legal and regulatory obligations. We do not sell your personal data to third parties. We may use service providers (e.g. hosting, email delivery) who process data on our behalf under strict confidentiality and data-processing agreements.

Legal basis (EU/EEA)

Where EU/EEA data protection law applies, we process your data on the following bases: (1) Contract performance: processing necessary to provide the service you have requested (e.g. account, profiles, animals, vet records, support). (2) Consent: where we rely on consent (e.g. optional cookies, optional marketing if we offer it, or optional "Contact owner" for lost animals), you may withdraw consent at any time without affecting the lawfulness of processing before withdrawal. (3) Legitimate interests: e.g. security, fraud prevention, analytics (when you have accepted non-essential cookies), and improving the service, where our interests are not overridden by your rights. (4) Legal obligation: where we must retain or disclose data to comply with law.

Your rights

Depending on applicable law (including GDPR where it applies), you have the right to: access your personal data and receive a copy; request correction of inaccurate or incomplete data; request erasure of your data in certain circumstances; restrict processing in certain circumstances; data portability (receive your data in a structured, machine-readable format); object to processing based on legitimate interests; withdraw consent where processing is based on consent; and lodge a complaint with a supervisory authority. To exercise these rights, contact us via the contact form on the home page or through the support section in your dashboard. We will respond within the timeframes required by applicable law.

Retention and security

We retain your data for as long as your account is active and as needed to provide the service, resolve disputes, and comply with legal obligations (e.g. tax, regulatory). After account closure or deletion request we may retain certain data for a limited period where required by law or for legitimate purposes (e.g. security). We implement appropriate technical and organisational measures to protect your data against unauthorised access, alteration, disclosure, or destruction, including secure transmission (e.g. HTTPS), access controls, and regular review of our security practices.

Sharing and third parties

We do not sell your personal data. We may share data with: (1) service providers who assist in operating the service (e.g. hosting, email, analytics if you have accepted cookies), under contracts that require them to protect your data and use it only for the purposes we specify; (2) law enforcement or public authorities when required by law or to protect rights and safety; (3) other users only to the extent necessary for the service (e.g. vets see data of animals they are assigned to; finders see limited animal information and, if enabled, contact options). We do not share your data with advertisers or third parties for their own marketing.

Children

The service is not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe we have collected data from a child under 16, please contact us and we will take steps to delete it.

Updates to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the service, or the law. We will post the updated policy on this page and indicate the "Last updated" date. For material changes we may notify you by email or through the service where practicable. Your continued use of eFauna after the update constitutes acceptance of the revised policy.
